Reservations and Fees

Nonprofit organizations and Kalamazoo County-based businesses may rent KPL’s community rooms for public events up to twelve times per year. Nonprofits may use any of the rooms; businesses may only use the rooms at Central Library, Eastwood and Oshtemo branch libraries. They are not available for social events such as showers, birthday parties, weddings, or receptions. A resident of the library district must make the room reservation.

Nonprofit organizations will be charged $25 per two hours. Businesses will be charged $150 for one to four hours or $250 for four to eight hours. Fees include use of available audiovisual equipment.

Reservations are accepted on a first-come, first-served basis. Rooms may be reserved beginning October 1st for January through December of the following year. The completed reservation form and payment of all applicable fees must be received by the library within thirty days of placing the reservation and no later than ten days prior to the meeting date.


Arrangements

The rooms vary in size, arrangement, and equipment availability. The community rooms can accommodate audiences of 30 to 170 persons. Four to eight people may meet in the Central Library study rooms. Classroom, theater, and boardroom style setups are available. Users should estimate the number attending and specify setup and equipment needed when reserving rooms.

Refreshments and Catering

Food may be served and catering services may be used at all locations for an additional charge of $25. Kitchenettes allow simple refreshments to be prepared at Eastwood, and Oshtemo. A large kitchenette is available at Central Library and can be reserved at the cost of $25.


Admissions and Sales

Organizations using the community rooms may not charge admission, but a free will donation may be requested. Limited sales are permitted, provided they are not the main purpose of the event. Permission to use the community rooms does not imply endorsement of any organization’s goals or activities. All users must follow KPL’s rules and guidelines.
